Document AI ROI calculator

01 · Your current stateManual process
Documents (or pages) you process each month. Usage fees are billed per page, so for multi-page documents enter pages.
Standard bounds: 1,000 – 500,000
Average hands-on minutes per document today: reading, keying, checking and filing.
Standard bounds: 1 – 30
Salary plus benefits, payroll taxes, tools, management and overhead for one processor, divided by working hours. Typically 1.3–1.5× base pay.
Standard bounds: $15 – $100
Share of documents with at least one data-entry or coding mistake that needs rework downstream.
Standard bounds: 1 – 15
Staff time, vendor or customer follow-up, late fees and write-offs to correct one bad record.
Standard bounds: $10 – $100

That is about 13 FTE of work today (2,083 hrs/month at 160 hrs per person). If that doesn't match your team size, adjust volume or time per doc.

02 · TezzLabs solution stateAutomated process
Straight-through processing: the share of documents that clear validation with no human touch. The rest are flagged as exceptions for review.
Standard bounds: 50 – 99
Minutes for a reviewer to resolve one flagged document in the TezzLabs review screen. Much shorter than full manual entry because the fields are pre-filled.
Standard bounds: 0.1 – 15
Illustrative per-page processing fee. Your audit gives a real figure based on your routing mix of parser, visual and premium models.
Standard bounds: $0.01 – $2
Internal monitoring, hosting and upkeep of the pipeline each month.
Standard bounds: $0 – $10,000
FDE = forward-deployed engineer. Every document workflow has its own layouts, rules and systems, so an engineer embeds with your team to design the validation checks, tune accuracy and integrate with your tools. This is what makes the pipeline audit-grade rather than generic. Paid once.
Standard bounds: $0 – $250,000
Safety margin added to the one-time setup cost only (not to running costs).
Standard bounds: 0 – 50

Remaining exception review: about 0.4 FTE (63 hrs/month).

Estimated ROITarget
Annual savings (net benefit)Yearly cost today minus yearly cost with TezzLabs (usage, maintenance and the human time spent on exceptions). It repeats every year and excludes the one-time setup cost.
$1,175,000
Per year, 94% below today's cost, after platform fees and exception handling. One-time setup is not deducted.
3-year net savingsTotal savings over three years after paying the one-time setup (including buffer). Differs from annual savings, which is one year of run-cost reduction.
$3,511,200
3 × annual savings, minus $13,800 setup
Payback periodInitial investment divided by monthly savings. How long until the one-time setup has paid for itself.
0.1 months
until setup is recovered
3-year ROIHigh because setup is a small, one-time cost against recurring savings. Raise the setup cost or buffer, or use the conservative scenario, to stress-test it.
> 9,999%
net savings ÷ setup cost
Hours freedSavings in dollars assume these hours are actually removed: fewer hires, less overtime or fewer contractors. If your team stays the same size, the benefit is capacity moved to higher-value work instead of cash.
2,021
per month, about 13 FTE of capacity
Simulates lowering the target automation by 15%.
Annual cost: where the savings come from
Today (manual)
  • Manual labor $800K
  • Error rework $450K
With TezzLabs
  • Platform usage + maintenance $51K
  • Exception handling labor $24K

Even in the conservative case you still save $1,154,600 a year (92% lower) with payback in 0.1 months.

How this is calculated
  • Today = volume × minutes ÷ 60 × rate + volume × error rate × error cost
  • TezzLabs = volume × usage cost + maintenance + volume × (1 − STP) × exception hrs × rate
  • Savings = (today − TezzLabs) × 12; investment = setup × (1 + buffer)
  • Payback = investment ÷ monthly savings; 3-yr ROI = (3 × savings − investment) ÷ investment

Estimates use your inputs and illustrative defaults, not customer results or a guarantee. The audit replaces them with measured figures.

How the calculator works

How is the document automation ROI calculated?

Today’s cost is volume × minutes per document ÷ 60 × fully loaded hourly rate, plus volume × error rate × cost per error. The cost with TezzLabs is volume × usage cost per page, plus monthly maintenance, plus the human time spent on exceptions (volume × (1 − STP rate) × exception minutes ÷ 60 × hourly rate). Annual savings is the difference × 12. Payback is the one-time setup cost, including contingency, divided by monthly savings.

What is a fully loaded hourly rate?

It is the true hourly cost of a processor: salary plus benefits, payroll taxes, tools, management and overhead, divided by working hours. It is typically 1.3 to 1.5 times base pay.

What is straight-through processing (STP)?

STP is the share of documents that pass automated extraction and validation with no human touch. Documents that fail a check or fall below the confidence threshold are flagged as exceptions and reviewed by a person.

What does the conservative scenario do?

It reduces your target STP rate by 15% (for example 85% becomes 72.3%), so more documents need human review. It shows whether the business case still holds if automation performs worse than planned.

What is the one-time setup and FDE cost?

FDE stands for forward-deployed engineer. Every document workflow has its own layouts, rules and systems, so an engineer works with your team to design the validation checks, tune accuracy and integrate the pipeline with your tools. The calculator adds a contingency buffer to this one-time cost only.

Are these results guaranteed?

No. The defaults are illustrative and the output is an estimate based on the numbers you enter. TezzLabs’ free Extraction & Cost-Efficiency Audit replaces them with measured accuracy and cost figures from your own documents.
